The Marketing and Events Coordinator will support our Marketing Director and Office Managing Director in managing events both on- and off-site from start to finish. This role is ideal for someone who takes personal ownership of projects, is comfortable communicating with professionals and executives at all levels, and in comfortable working independently.

 

Example of Events the Coordinator will manage:

  • Seminars
  • Breakfast receptions
  • Mixers
  • Alumni events
  • Charitable activities
  • Catering for client and employee meetings
  • Internal employee events and outings
  • Continuing professional education

Tasks

Event Responsibilities:

  • Develop project plans for each event and adhere to schedule
  • Secure venues
  • Manage caterers/food delivery for in house events
  • Manage invite list
  • Manage attendee list
  • For seminars, scheduling/participating in conference calls with presenters
  • Work with marketing coordinator in NYC on email announcements and event registration pages
  • Select/order promotional items to give out at events, when required
  • Secure seminar content, set up PPT and any handouts
  • Room set up and break down for internal events
    • Includes set up of any required technology such as mics and laptops for presentations
    • Includes room clean up at end of event
  • Create/present event budgets to Director for approval
  • Attend events, set up registration table and other ‘day of event’ responsibilities
  • Post event communications/follow up

Additional responsibilities:

  • Maintain calendar of industry events and solicit Partners/Principals/Managers for participation
  • While position will be based in Albany, this individual will be called upon to assist with event coordination across the firm
  • This individual will report into the Director of Marketing and will participate in weekly department conference calls for the region
  • Assist Albany Office Managing Director with scheduling meetings and soliciting participation from other partners at firm sponsored events
  • On a project basis, this individual will also support the Human Resources Generalist and the Professional Services Leaders
  • Provide year end recap of all events and report on successes and areas for improvement, make suggestions for following year
  • May also assist with coordinating sponsorships for the region, which includes securing sponsorship approval, submitting commitment forms and invoices, securing attendees, sending promotional materials
  • Ordering and maintaining collateral/marketing materials library for Albany office, and promotional items

Experience and Education

  • Must have experience with managing events from start to finish
  • A highschool diploma or GED at minimum
